The client operates a busy U.S.-based home care agency, providing support to patients and caregivers across various administrative and operational needs. The agency is seeking a reliable, detail-oriented, and compassionate Virtual Care Coordinator who can manage day-to-day communication and logistics, primarily in Spanish and English.
About the Role:
This role combines reception, coordination, and administrative support for a home care agency. The Virtual Care Coordinator will act as a bridge between patients, caregivers (aides), and internal staff — managing schedules, reviewing payroll, assisting with benefits and timesheets, and supporting patient satisfaction. The position requires excellent communication skills, cultural sensitivity, and experience in healthcare or home care coordination.
Key Responsibilities
- Respond to phone calls, emails, and messages from aides, patients, applicants, and insurers
- Support aides with payroll, PTO, benefits, ADP registration, and HHA Exchange usage
- Manage the daily attendance dashboard, identify missing timesheets, and provide training or support
- Conduct welcome calls to new patients and assist with creating weekly schedules
- Review and revise pre-billing and timesheets, coordinate with payroll to ensure accuracy
- Follow up on pending authorizations and liaise with insurance companies
- Staff open cases and assist in finding suitable caregivers
- Translate communications between English-speaking management and Spanish-speaking aides or patients
- Handle applicant intake, assist with applications, and coordinate nurse visits
- Conduct monthly patient satisfaction calls
- Manage annual administrative supervision and background check follow-ups for aides
Required Qualifications
- Fluent in both Spanish and English (written and spoken)
- Prior experience in home care, healthcare, or case coordination strongly preferred
- Familiarity with HHA Exchange, ADP, and payroll/timesheet systems a major plus
- Strong customer service and phone communication skills
- Ability to multitask and manage a high volume of daily inquiries
- Must be HIPAA-compliant and understand patient confidentiality standards
- Tech-savvy with strong organization and time management skills
